Are you someone who enjoys keeping projects moving, working with vendors, comparing costs, and making sure the details are right? We’re looking for a Purchasing & Estimating Coordinator who will play an important role in supporting our projects from the estimating stage through purchasing and material delivery. This is a great opportunity for someone who is organized, detail-oriented, and comfortable juggling multiple priorities while working closely with vendors, production, project management, and other internal teams.

In this role, you’ll have the opportunity to build experience across both purchasing and estimating, giving you visibility into how projects are quoted, sourced, and ultimately brought to life in a manufacturing environment.

 

What You'll Do

  • Prepare, process, and maintain purchase orders, ensuring information is accurate, complete, and entered on time.

  • Obtain vendor quotes and compare pricing, availability, and lead times.

  • Communicate with vendors regarding pricing, purchase orders, order status, shipping, and delivery schedules.

  • Track purchase orders from placement through receipt of materials.

  • Maintain accurate purchasing records, vendor information, and pricing data.

  • Verify invoices, packing slips, and purchase orders for accuracy.

  • Follow up on backorders, delayed shipments, discrepancies, and other purchasing issues.

  • Assist with inventory checks and monitor material requirements to support production and project schedules.

  • Partner with estimating, project management, production, and accounting to support project requirements and timelines.

  • Identify opportunities for cost savings, competitive sourcing, and improved vendor pricing.

  • Maintain organized documentation for purchases, quotes, and vendor correspondence.

  • Assist estimators with preparing accurate and timely project estimates.

  • Review project specifications, drawings, and scopes of work to gather information needed for estimating.

  • Prepare material and labor cost information for estimates.

  • Request and compare vendor and subcontractor quotes.

  • Review estimates for accuracy, completeness, and pricing consistency.

  • Create and maintain part numbers and related item information within company systems.

  • Provide additional administrative support to the purchasing and estimating functions as needed.

Qualifications
  • High school diploma or equivalent required; associate degree or additional education in Business, Supply Chain, Manufacturing, Accounting, or a related field preferred.

  • At least 1 year of experience in purchasing, procurement, estimating, project coordination, manufacturing, or a related administrative role.

  • Experience in a manufacturing, fabrication, or project-based environment is preferred.

  • Proficiency with Microsoft Office, particularly Excel and Outlook.

  • Experience with ERP, purchasing, inventory, or estimating software is preferred.

  • Strong attention to detail with the ability to maintain accurate records and pricing information.

  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.

  • Effective written and verbal communication skills, particularly when working with vendors and internal teams.

  • Ability to work independently while effectively collaborating across departments.

  • Demonstrated reliability, follow-through, and a sense of urgency when supporting production and project deadlines.

  • Ability to maintain confidential company, customer, vendor, and pricing information.
